General Questions

What kind of events can be hosted on Bswarms?

Bswarms can host any type of event except those that require special ticketing features such as assigned seating (we are working on it)…we call them swarms. Here are a few types of swarms we can do:

What’s a swarm?

A swarm is our terminology for an event. You’ll see several bee-related terms throughout our site. Just imagine our system as someone drop-kicking a bee hive. We’re here to give your organization that kick to get people out of their “hives” and start generating a dangerous buzz.

 

Who do I contact if I have a problem?

What does the B in Bswarms stand for?

The “B” stands for Business.

 

I’ve lost my password…what do I do?

On the login page, just select the link to the right of the login button. It should say “Forgot your username and password.” Enter your email address and your password will be emailed to you. Look for an email from King Bee.

 

Swarm/Org Questions

Is there a limit to how many swarms I can host?

Nope. You can host an unlimited amount of swarms.

 

How do I edit my organization or swarm?

To edit an organization that you’ve already created, select the organization by clicking on its name. Then select “edit organization” from the menu on the left hand side. To edit a particular swarm, select it and then click “edit swarm” from the Swarm Menu. Enter the information you want to change and click “submit.”

 

 

How do I know how many people have registered?

At the swarm main menu, you should see on the right hand side the “attendance goal”. This will indicate how many people have signed up to date. To view more detailed information about participants who have signed up, select “entries” from the Swarm Menu.

 

Why do I need to indicate a minimum number of signups?

Some organizers require a minimum number of registrants to ensure that their event “breaks even”.

 

How can I customize my registration page with my logo?

Customizing your registration page can be done by selecting “Preview Swarm” from the Swarm Menu. While previewing the swarm page, click the orange “customize” button on the left hand side. A menu with options should appear and from this menu you can change the background or header color and the background image. To change the background image, you just have to link to your logo or image on your own server. Then click save. You can also change the image associated with each swarm by selecting “edit swarm” from the swarm menu.

 

Financial Questions

How much does it cost to use Bswarms?

Bswarms doesn’t cost anything to the organizer of the events. We do, however, charge a small percentage to your registrants upon check out. This is known as the convenience fee.

 

Do I need a merchant account?

No, a merchant account is not necessary.

 

Can I hide the convenience fee from my registrants?

Yes. When you select “edit swarm” from the Swarm Menu you will be given the option to edit the swarm information. In the settings panel on the right hand side, you will have options to show or hide the convenience fee from the user.

 

How do I apply discount codes?

While setting up or editing a swarm, you will have the option to add a discount code or coupon. Just give the code a name, discount amount, and expiration date. You will also be able to limit how many coupons are available.

 

What’s the turnaround time for transaction processing?

Transaction processing is immediate upon completion of the checkout process.  We batch once a day.

 

Someone who registered for my swarm needs a refund. What do I do?

Bswarms does not offer refunds to users who registered for an event. Refunds are the responsibility of the organizer.

 

Our event did not meet its minimum number of signups. How do I cancel my event and return funds?

Should the organizer need to cancel the event, the responsibility relies solely on them to issue refunds.

 

Our event did not meet its minimum number of signups. Can I still hold the event?

Of course you can always still have your event.

 

Legal Questions

What if I have my own waiver?

When setting up or editing a swarm, you will have the option to copy and paste in your own waiver. This will be viewable on the registration page in addition to the waiver required by Bswarms.
